Purposes and legal bases

  • Account and Darshan registration: We process your details to operate your account, manage your free registrations and inform you about them. The legal basis is Art. 6(1)(b) GDPR.
  • People you add: If you register other people, we process their details to carry out the registration under Art. 6(1)(b) and (f) GDPR. Please inform these people that you entered their data and about this privacy policy.
  • Optional email notifications and newsletters: These are sent on the basis of your consent under Art. 6(1)(a) GDPR. You may withdraw your consent at any time with effect for the future.
  • Operation and security: Technically necessary processing is based on our legitimate interest in a secure and reliable registration system under Art. 6(1)(f) GDPR.

Data processed

  • Contact details such as name, email address, telephone number, postal code and country,
  • details of other people you register, including the date of birth for children,
  • Darshan registrations and their status,
  • email preferences and evidence of consent or withdrawal,
  • technical log and delivery data.

Recipients and processors

  • Hosting: dogado GmbH, Antonio-Segni-Straße 11, 44263 Dortmund, Germany. dogado operates the hosting, application and database infrastructure under a data processing agreement pursuant to Art. 28 GDPR.
  • Email delivery: Twilio SendGrid, provided to customers in the European Economic Area by Twilio Ireland Limited, 70 Sir John Rogerson's Quay, Dublin 2, D02 R296, Ireland. The recipient address, email content and technical delivery data are processed. Where subprocessors in third countries are used, transfers are based on the agreed data protection safeguards, in particular the EU Standard Contractual Clauses. Open, click and Google Analytics tracking are technically disabled for messages sent from this system.

We do not disclose your data to third parties for advertising purposes.

Retention

  • Unactivated self-registered Accounts without bookings or other protected references are deleted automatically after 30 days. Other Account data is kept while the Account exists. When an Account with history is deleted, the Account and its associated people are anonymised. The no longer personal booking history remains available to trace previous Darshan Sessions.
  • The current email preference or suppression is retained for as long as it is needed to honour your decision. Superseded consent, withdrawal and preference evidence is retained until the beginning of the fourth calendar year following its replacement.
  • Pending newsletter confirmation requests are deleted after 48 hours. Unconfirmed Mailing preparations are deleted after 24 hours.
  • Technical records of successfully delivered or permanently failed emails are deleted after 30 days. Successful and suppressed recipient rows of a completed Mailing are removed immediately on completion; failed recipient rows are deleted after 30 days.
  • Logs of the SendGrid unsubscribe synchronisation are deleted after 90 days.
  • Server and application logs held by the hosting provider are deleted after 30 days.

Audience measurement and statistics

We measure use of the registration system without cookies, stored IP addresses or recognition of individual people. Individual interactions are immediately added to identifier-free hourly aggregates. Processing is based on our legitimate interest in improving the structure, clarity and stability of the system under Art. 6(1)(f) GDPR. The aggregates and other statistics events are deleted after 13 months; short-lived active statistics session data is deleted after two days.

Cookies

We use only technically necessary cookies, in particular for the signed-in session and form protection. These cookies are required to operate the service.

Your rights

You have the right to access, rectification, erasure, restriction of processing and data portability, and the right to object to processing based on legitimate interests. You can withdraw consent at any time with effect for the future. Please use the contact details above.

You also have the right to lodge a complaint with a data protection supervisory authority. The competent authority is the Hessian Commissioner for Data Protection and Freedom of Information, Postfach 3163, 65021 Wiesbaden, Germany.
